Privacy Policy

This Privacy Policy explains how Vitaroma LLC ("Vitaroma," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit https://vitaroma.co (the "Site"), join our waitlist, or purchase our products. By using the Site, you agree to the practices described here.

Vitaroma is currently in a pre-launch phase. Today, the only personal information we collect from most visitors is an email address submitted to our waitlist. The sections below also describe the information we will collect once online ordering opens.

1. Who we are

Vitaroma LLC is a limited liability company registered in the State of Florida, United States. Our mailing address is 2125 Biscayne Boulevard, Miami, FL 33137. You can reach us at any time at hello@vitaroma.co. For the purposes of applicable data protection laws, Vitaroma LLC is the controller of your personal information.

2. Information we collect

Information you give us

  • Waitlist sign-up: your email address.
  • Orders (once ordering opens): your name, shipping address, billing address, email address, and phone number if you provide one.
  • Payment information: payment card details are entered directly into our payment processor's secure checkout. We do not receive or store full card numbers on our servers; we receive a confirmation of payment and limited details such as the card brand and last four digits.
  • Customer support: the contents of emails or messages you send us, including any information you choose to include.

Information collected automatically

  • Technical data: IP address, browser type, device type, operating system, referring pages, and the dates and times of your visits.
  • Usage data: the pages you view and how you interact with the Site.
  • Cookies: see Section 6 below.

We do not knowingly collect personal information from children under 13, and the Site is not directed to children.

3. How we use your information

  • To add you to our waitlist and notify you when Vitaroma launches or when there is news relevant to your sign-up.
  • To process, fulfill, and deliver your orders, and to send order confirmations, shipping updates, and tracking information.
  • To respond to your questions, requests, and support inquiries.
  • To process refunds and returns.
  • To operate, maintain, secure, and improve the Site.
  • To detect, prevent, and address fraud, abuse, security incidents, and technical issues.
  • To comply with our legal obligations and enforce our Terms of Service and other agreements.

Where required by law, we rely on the following legal bases for processing: performance of a contract with you (order fulfillment); your consent (waitlist emails, non-essential cookies); our legitimate interests (securing and improving the Site, preventing fraud); and compliance with legal obligations.

4. How we share your information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share personal information only as described below:

  • Service providers. We use trusted third parties to run our business. Each receives only the information needed to perform its function and is contractually required to protect it:
    • Stripe — payment processing and fraud prevention.
    • Resend — sending transactional and waitlist emails (email sent from orders@vitaroma.co).
    • Zoho — hosting our hello@vitaroma.co support inbox.
    • Cloudflare — website hosting, content delivery, DNS, and security.
  • Shipping carriers. Once ordering opens, we will share your name and delivery address with carriers to ship your order.
  • Legal and safety. We may disclose information if required by law, subpoena, or other legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Vitaroma, our customers, or others.
  • Business transfers. If Vitaroma is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and of any choices you may have.

Some of these providers may process or store data on servers located in the United States or other countries.

5. Data retention

We keep personal information for as long as needed to fulfill the purposes described in this Policy. Waitlist email addresses are kept until you unsubscribe or ask us to delete them. Order records are kept for the period required to meet tax, accounting, warranty, and legal obligations, after which they are deleted or anonymized.

6. Cookies

Our use of cookies is minimal. At present the Site uses only essential session cookies that are necessary for the Site to function and to keep it secure. We do not currently use advertising cookies or third-party analytics or tracking cookies.

Most browsers let you refuse or delete cookies through their settings. Blocking essential cookies may cause parts of the Site to stop working. If we introduce non-essential cookies in the future, we will update this Policy and, where required, ask for your consent first.

7. Your rights and choices

Depending on where you live, you may have some or all of the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you.
  • Correction — ask us to correct inaccurate or incomplete information.
  • Deletion — ask us to delete your personal information.
  • Portability — request your information in a portable format.
  • Restriction and objection — ask us to limit or stop certain processing.
  • Withdraw consent — where we rely on consent, withdraw it at any time.
  • Opt out of marketing — unsubscribe from waitlist or marketing emails using the link in any such email, or by emailing us.
  • Non-discrimination — we will not deny you goods or services, charge you a different price, or provide a different level of quality because you exercised your rights.

These rights include those available to residents of the European Economic Area and the United Kingdom under the GDPR and UK GDPR, and to California residents under the CCPA/CPRA. To exercise any right, email hello@vitaroma.co from the address associated with your record, or describe your request in enough detail for us to locate your information. We will respond within the time required by applicable law (generally 30–45 days) and may need to verify your identity first. You may use an authorized agent to submit a request on your behalf where the law allows.

EEA and UK residents have the right to lodge a complaint with their local data protection authority. We would appreciate the chance to address your concern first.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit (HTTPS) and reliance on payment and infrastructure providers that maintain industry-standard security. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Third-party links

The Site may link to third-party websites or services that we do not control. This Policy does not apply to those sites, and we are not responsible for their content or privacy practices. Review the privacy policy of any third-party site you visit.

10. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, take additional steps required by law, such as notifying you by email. Your continued use of the Site after an update takes effect means you accept the revised Policy.
